I take your data privacy seriously. I keep my privacy policy as simple as possible. This privacy policy provides you with details of how I collect, use and protect any personal data you provide me with through your use of this site https://emmasjhogg.wixsite.com/coach and any interaction from attending a coaching session(s) with me.

By using my services, you acknowledge that you have read and understood the terms of this privacy notice, including how I use your personal information.

Protecting the privacy of young children is especially important to me. For that reason, I do not knowingly collect or maintain personal information or non-personally identifiable information from users under 13 years of age, other than as permitted by law in support of our internal operations.

For clarity, I may be both data controller and data processor for your personal data under certain circumstances.

Who am I?

I  am Emma Hogg  - an Advanced Coaching Practitioner with training accreditation recognised by the Association for Coaching.

What data I collect 

I may collect, use and store the following information for legitimate business reasons:

  • Name and job title and the organisation you work for.

  • Contact information including postal address, email address and telephone number.

  • Details of your visits to my site including communication data. I also retain records of your queries and correspondence, in the event you contact me.

  • If you have attended sessions with me I will have a record of the amount of money you have paid me, dates and session attendance.

  • Financial Information including bank account and payment card details. 

  • Transaction Information including details about payments to and from you and other details of the services you have purchased from me. 

 

Why do I hold and store this information?

I hold this data for legitimate business reasons relating to the provision of the coaching services I provide and to comply with HMRC Tax requirements.

How did I collect your data?

I collect information from and about you through information you provide. I receive personal information about you from you when you use my website, complete forms on my website, if you contact me by phone, email or otherwise in respect of any of my services or during the purchasing of any such service.

How do I store your data?

I store your data on my website hosted by Wix. 

​

I also store it in my spreadsheets for monitoring purposes of attendance at sessions and payments.

Ways I may use your data

I require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Internal record keeping - to register you as a customer when you submit an enquiry in order to respond to you and to process your request to use my services.

  • To enable me to review and improve my website, products and services.

  • To provide you with information about services that you request from me or where you have made an enquiry or have consented to be contacted for such purposes

  • To arrange coaching sessions

  • To follow up after coaching sessions to provide summaries of issues covered, agreed actions and other information which I think you may find interesting as discussed in your session using the email address which you have provided.

  • To provide customer care, including responding to your requests if you contact me with a query.

  • To keep you up to date with any changes connected with coaching sessions such as date/time/location.

  • To administer accounts, process payments and keep track of billing and payments.

  • To help calculate revenue and session statistics for tax and monitoring purposes.

  • From time to time, I may also use your information to contact you for market research purposes. I may contact you by email, or phone or mail. I may use the information to customise the website and my services according to your interests.

  • To deal with any requests from you regarding your rights under this notice. 

 

I will not sell, distribute or lease your personal information to third parties unless I have your permission or am required by law to do so.

How you can delete your data

You can completely delete your data at any time, by contacting me directly.

Security of Data/Data storage

As the transmission of information via the internet is not completely secure, I cannot guarantee the security of your data transmitted to my site and any transmission is at your own risk.

Data I keep that you submit via my website is stored by Wix - an established reputable organisation (see below for further information).  Your data is saved on secure servers and may be stored outside of Europe. By submitting your personal data, you agree to this.

My website, computer and spreadsheets are backed up and password protected.

​

My session notes taken during coaching are securely stored in a locked cabinet.

Data Retention

I will only retain your personal data for as long as necessary to fulfill the purposes I collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

On the ending of your custom, I may keep your data for up to 6 years after you have cancelled your services with me. I may not be able to delete your data before this time due to our legal and/or accountancy obligations. I assure you that your personal data shall only be used for these purposes and otherwise deleted.

Internet cookies

When you visit my website the site may store some information (commonly known as a ‘cookie’ on your computer or device) to give you a better user experience. Overall, cookies help me provide you with a better website, by enabling me to monitor which pages people find useful and which you do not. The site does this by placing a small text file on your device / computer hard drive to track how you use the website, to record or log whether you have seen particular messages that we display, etc.  A cookie in no way gives me access to your computer or any information about you, other than the data you choose to share with me.

If you disable or refuse cookies, please note that some parts of this website may become inaccessible or not function properly. Wix has a cookie policy for web hosting and this site adheres to that.

My Wix website uses traffic log cookies to identify which pages are being used. This helps me analyse data about webpage traffic and improve my website in order to tailor it to customer needs.  

The cookie banner on my site automatically disables the use of non-essential cookies until the user provides consent.

Wix can store data from visitors to my site in a number of locations i.e. data centres in the United States, Ireland, South Korea, Taiwan and Israel. Wix is a global company that respects the laws of the jurisdictions it operates within.  The processing of User Customer Data may take place within the territory of the European Union, Israel or a third country, territory or one or more specified sectors within that third country, of which, the European Commission has decided that it ensures an adequate level of protection.  The security of sensitive data is of extreme importance to Wix and they are 100% committed to data protection.

My website may contain links to other websites of interest, I may also provide links to third party sites in the course of your coaching sessions during the sessions or by contacting you with the contact details you have provided. However, once you have used these links to leave our site, you should note that I do not have any control over that other website. Therefore, I cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Your consent

By submitting your information, you consent to the use of that information as set out in this policy. 

Only in exceptional circumstances such as risk to yourself or others, other services such as your GP or police may be contact without your consent.

If I change our policy, I will post the changes on this page, so that you can be aware of the information I collect and how I use it at all times. Continued use of the service will signify that you agree to any such changes.

Changes to this policy

I keep this Privacy Policy under review and may modify or amend it from time to time at my discretion. You should check this page from time to time to ensure that you are happy with any changes. If I make changes, the revised Privacy Policy will apply to you and your information from that date. This policy is effective from 01/05/2022.

Access to collected information

You have the right to request a copy of personal data that I keep about you, to have any inaccurate information about you corrected, to have your data deleted or to ask me to stop using your data. Although there are legal and accountancy reasons why I will need to keep your data (see above), please do inform me if you think I am retaining or using your personal data incorrectly.

 

If you wish to make a request related to data held or you are concerned that any of the information I possess about you is incorrect, please contact me in writing at emmasjhogg@gmail.com . I aim to respond to all legitimate requests as soon as possible and within one calendar month of receipt. Occasionally it may take me longer than a month if your request is particularly complex or you have made a number of requests. In this case, I will notify you and keep you updated.  If you are still not satisfied, you’re entitled to report a concern to the Scottish Information Commissioner.
